Users
The term user refers to a user of application and to the record of that user that exists in Administration. Users can be employees, consultants, or other parties that require access to your OpenText Core Data Discovery & Risk Insights environment. Users can be manually created in Administration, or can be brought into the application through a federated source.
Based on the roles you assign them, users can access Administration and integrated component UIs. Users can belong to multiple groups.
From the Users page, you can view user details.

Filter the list of users by assigned group.

Search for a user by user name, last name, or first name.

View details for a user. Click anywhere in the row for the desired user and then click the open detail pane icon (
).

If the user belongs to more groups than presented in the detail pane, a More link displays.
Click the More link to open the Edit User dialog to the Roles tab.

If the user belongs to more roles than presented in the detail pane, a More link displays.
Click the More link to open the Edit User dialog to the Roles tab.

From the primary navigation pane, click Users.
The Users page opens.

Click NEW USER.
The New User dialog opens.

Complete the details for the new user. On the DETAILS tab, enter the basic details for the new user.
Option Description Email Type a valid email address for the user. The email address becomes the user's application username.
Limits: Maximum 50 characters.
Send verification email Select to send an email to the new user. The email is a request for the user to verify their email for OpenText Core Data Discovery & Risk Insights. Users must verify their email before additional notification emails can be sent. For more information about notifications, see Notifications. User Name Type a unique user name for the user.
Defaults to the defined email address, but can be changed as desired.
Limits: Maximum 250 characters.
First Name Type the first name of the user.
Limits: Maximum 100 characters.
Last Name Type the last name of the user.
Limits: Maximum 100 characters.
Allow to change password Specifies whether the user has the capability to change their own password through the UI. This also allows an Administrator to change the user's password through the UI.
Group Type the name of an existing OpenText Core Data Discovery & Risk Insights group. As you type, groups that match what you have typed display.
Click the desired group name to add it to the list of groups this user is associated with.

Click the ROLES tab and then select the appropriate check boxes to grant access to the desired application components and roles. Roles inherited due to group assignment are pre-selected and dimmed. For more information about role permissions, see Roles.

Click CREATE.
A confirmation message opens and the new user is created.
IMPORTANT: The confirmation message contains the new user's temporary password. Make note of this password; it cannot be retrieved again through the UI.
When the user logs on to the application for the first time, the user is prompted to create a new password.
If the list of users is larger than what can be displayed on-screen, refresh the page to view the new user in place in the list. A page refresh reloads the page and returns you to the beginning of the list.

On the Users page, click the name of the user you want to edit.
TIP: You can also click or hover over the row for the desired user and then click the edit icon
.
The Edit User dialog opens.

Edit the desired information.

To remove a group that the user is associated with, click the X next to the desired group name.

For users that are brought into OpenText Core Data Discovery & Risk Insights from a federated source, you can only edit the group association. All other options are dimmed and cannot be edited.

If updating the user's group,

the roles that display dimmed on the Roles tab do not update until after you save your current changes. You will see the update the next time you open the Edit User dialog for this user.

roles and permissions associated with the change in group may take up to five minutes to take affect. Alternately, the user can update their roles and permissions more quickly by logging out of the application and then logging back in.

Click UPDATE.
The information for the user is updated.
NOTE: If you change permissions for a user that is currently logged in to the application, the new permissions will not take effect until the next time the user logs on.

On the Users page, click or hover over the row for the desired user.
Additional icons display in the right column.

Click the delete icon
associated with the desired user.

You cannot delete users that are brought into OpenText Core Data Discovery & Risk Insights from a federated source.

To prevent lockout, you are not able to delete yourself (the user you are logged in as).

In the confirmation dialog, click YES to confirm the action.
The user is deleted.
On the Users page, click the row for the desired user. Open the detail pane () and review the list of groups assigned. If applicable, click the More link to view the full list of groups.
On the Users page, do one of the following.

Click or hover over the row for the desired user. Click the send verification email icon
associated with the user.

Click the row for the desired user and open the detail pane (
). In the detail pane, click SEND VERIFICATION EMAIL.
