Administrator tasks for Inventory

IMPORTANT: These tasks must be performed by an OpenText Core Data Discovery & Risk Insights administrator before the inventory view is populated for users.

The Inventory page is shown based on permissions. As an administrator, you control what is available for users in Inventory through permissions, groups, roles, workspace templates, and dataset security. As appropriate for your implementation of the inventory view, complete the following tasks.

  1. To allow users to view their ACL managed data, use the sample agent plugin configuration file to define your ACL groups to map to groups in OpenText Core Data Discovery & Risk Insights.

  2. Create one or more Manage and Workspace Security roles with only the minimum permissions desired.

    • For the "Managed data" tab of the inventory view, users must be assigned the following.

      • To see the tab, users must be assigned to a role with the Manage > View "Managed data" on Inventory page.

      • To see data, users must be assigned to roles or groups with the Manage > Manage Workspaces permission.

    • For the "My data" tab of the inventory view, users must be assigned the following.

      • To see the tab, users must be assigned to a role with the Manage > View "My data" on Inventory page.

      • To see data, users must be assigned to roles or groups with the Manage > Search and view documents/tables or Manage > Manage Workspaces permission and be assigned to document security groups that have been mapped to an ACL group for the appropriate datasets.

  3. Create one or more groups as necessary. Select the Document Security Group option and assign one or more of the newly created roles as necessary.

  4. Assign users to the newly created groups.

  5. Create one or more workspace templates to be used when creating a workspaces from the inventory view.

    1. On the General page, select Available in Inventory View.

    2. From the Role for Groups associated with a folder selected in the Inventory view list on the Default Security page, select the desired newly created role. This workspace role is assigned to document security groups whose members own documents within the folder path used to create the workspace. This allows the users that are owners of documents within the folder path to take action within the workspace.

    3. On the Default Workbooks page, select the desired workbooks to be created as part of the workspace.

    4. On the Default Features page, select the desired features to be enabled for the workspace. Users assigned to roles with the Simplified workspaces view permission will be further limited by the features available in this view.

  6. To allow a user, such as a manager, to review data owned by others on the "Managed data" tab, assign the user to a group that has access to the desired dataset.
